Privacy Policy

Last updated: October 6, 2026

Overview

Equity Law Group respects the privacy of clients, prospective clients, website visitors and everyone who contacts the firm. This policy explains what personal information we collect through our website, by telephone, by text message and by email; how we use it; which service providers help us; where it is stored; and your choices.

Information We May Collect

Contact Forms

When a visitor submits the website contact form, the firm may collect:

  • First name
  • Last name
  • Telephone number
  • Email address
  • Message and information voluntarily included in the message

Visitors should avoid submitting highly sensitive or confidential legal information through a public contact form unless specifically instructed by the firm.

If you tick the optional text-message box, we also record that you agreed, when you agreed, and the wording you agreed to.

Live Chat

Visitors who use the website live chat may provide their name, contact details, messages, and any files or voice messages they choose to send. The chat is intended for general enquiries and arranging consultations. Using it does not create a lawyer–client relationship, and the firm will not have checked for conflicts of interest at that stage.

Visitors should not send confidential information or documents through the chat until the firm has confirmed it can act for them. Chat conversations, including files and voice messages, are stored by the firm's chat provider, Crisp.

Phone Calls

When you call us, we collect your phone number, the date and time of the call, what you tell us and, where calls are recorded, a recording and transcript.

Text Messages

When you text us or agree to receive texts, we collect your mobile number, the messages exchanged, and a record of your consent or opt-out.

Phone Calls, Recording and Our Virtual Receptionist

We may record calls to our main line, including calls answered by our virtual receptionist. If we record any other call, we tell you at the start of that call.

We record calls to keep an accurate record of instructions and information, manage client files, follow up on inquiries, schedule appointments, train staff, protect against fraud, and meet our legal and professional obligations. A recording notice plays at the start of each recorded call. If you do not want to be recorded, tell us at the start and we will offer another way to communicate, such as email or a meeting.

Outside office hours, and when our staff cannot answer, your call may be answered by our virtual receptionist. It is an automated artificial-intelligence system, not a person, and it says so at the start of the call. It does not give legal advice. It takes a message, answers general questions about the firm, or transfers you to our staff.

Artificial Intelligence Tools

Our telephone service provider uses automated and artificial-intelligence tools to answer and route calls, transcribe calls and voicemail, and produce summaries. Transcripts and summaries can contain errors, so a person at our firm checks them before we rely on them. Our provider has told us that it does not use customer data to train its AI models and does not allow its subcontractors to do so. AI does not decide whether we will act for you; a lawyer makes that decision.

New Inquiries and Conflicts of Interest

If you contact us about a new matter, we first ask only for the information we need to check for conflicts of interest, such as the names of the people involved. Please do not share details of your situation until a lawyer has confirmed we can help. Contacting us, by any means, does not create a lawyer–client relationship.

Text Message (SMS) Terms

These terms apply to text messages between you and Equity Law Group.

If you consent to receive text messages (SMS) from Equity Law Group, you agree to receive SMS from us about your inquiry, appointment confirmations and reminders, directions to our office, callback times and, if you become a client, practical updates about your matter. Reply STOP to opt out. Reply HELP for support. Message and data rates may apply. Messaging frequency may vary. Visit https://www.equitylawgroup.ca/privacy-policy to see our Privacy Policy and these terms.

Stopping texts

Reply STOP at any time to stop receiving texts from us. You can also ask us to stop by phone or email. We act on opt-outs right away, and always within 10 business days. Replying CANCEL may also stop all texts from us, so to cancel an appointment, please call us.

Help

Reply HELP for help, or call 604-259-2844 or email info@equitylawgroup.ca.

Your safety and confidentiality

Texts are not a secure way to communicate. Please do not text us confidential information or documents. We will never ask you to send banking or payment details by text, or change payment instructions by text. If you receive a text that seems to come from us asking for money or banking details, call us at 604-259-2844 before doing anything. If other people can see your phone or messages, tell us and we will not text you.

Sharing

No mobile opt-in or text message consent will be shared with third parties or affiliates. We do not sell, rent or share your mobile number or text-message consent with anyone for their own marketing. Our telephone provider, RingCentral, delivers our texts on our behalf.

Delivery

Mobile carriers are not liable for delayed or undelivered messages.

Cookies and Analytics

The website uses cookies and similar technologies to support site functionality and to measure how the website is used.

Google Tag Manager and Google Analytics load on every page of this website and run for all visitors. The website does not currently present a cookie-consent banner.

Visitors who prefer not to be measured can block or delete cookies through their browser settings, or install Google's opt-out browser add-on. The live chat widget also sets its own cookies and collects usage information about visits.

Third-Party Services

We use service providers to run our website and our practice. They process information on our behalf, under contract, to provide their services to us.

  • Website: Vercel (website hosting), Sanity (content management), Resend (email delivery), Crisp (live chat; stores chat conversations, files and voice messages), and Google Tag Manager and Google Analytics (website measurement).
  • Telephone and messaging: RingCentral (phone, fax, voicemail, text messages, call recording, transcription and our virtual receptionist). Some RingCentral services use subcontractors, including AI model providers.
  • Practice operations: Microsoft 365 (email, calendar and documents), Clio and Appara (practice management and client records) and Box (document storage).

We may also use other service providers, including AI tools, to help with administrative work. These providers may also handle information under their own privacy policies and contractual terms.

Text messaging data is never shared. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All of the categories of sharing described above exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

Where Your Information Is Stored

Our service providers may store and process your information outside British Columbia and outside Canada, including in the United States. While it is there, it may be subject to the laws of that country and accessible to its courts, law enforcement and national security authorities. We use contracts and security measures to protect it, and we remain responsible for it.

Local Storage

The website may use browser local storage for certain client-side application functions.

Local storage is stored within the user's browser and should not be treated as a secure location for storing highly sensitive information.

How Information Is Used

Information may be used to:

  • Respond to enquiries.
  • Provide legal and notarial services.
  • Manage client accounts and matters.
  • Communicate with clients.
  • Answer and route calls, take messages and arrange callbacks.
  • Check for conflicts of interest before we agree to act.
  • Send appointment confirmations, reminders, directions and other texts you have agreed to.
  • Send requested emails.
  • Process invoices and payments.
  • Maintain website security.
  • Improve website functionality.
  • Measure how the website is used.
  • Meet legal, regulatory, and professional obligations.

Retention

Information may be retained for as long as reasonably necessary for the purpose for which it was collected, to provide services, maintain business records, comply with legal requirements, and satisfy applicable professional obligations.

Retention periods may differ depending on the type and sensitivity of information.

Notes and summaries of calls about a client matter are kept with the client file under our file-retention schedule. Call recordings and transcripts are kept only as long as we need them for the purposes described in this policy, and are then deleted. Information we use to decide whether to act for someone is kept for at least one year, as BC law requires. If you opt out of texts, we keep a record of your opt-out so we do not text you again.

Privacy Rights and Concerns

You may ask for access to your personal information, ask us to correct it, or withdraw your consent, subject to legal and contractual limits. We may withhold some information as the law permits, such as information protected by solicitor–client privilege or information about other people. We respond within 30 days, as BC's Personal Information Protection Act requires.
